Licence Terms
These Licence Terms describe what you can and cannot do with the digital documents you have purchased from the Care Franchising Compliance store. They apply to all policy suites, toolkits, master checklists, and other digital products sold by Care Franchising Limited ("we", "us") — Companies House 16271445, registered at Kingscott Dix, Goodridge Court, Goodridge Avenue, Gloucester, GL2 5EN.
These Licence Terms form part of our Terms of Sale.
1. The licence we grant you
When you complete a purchase, we grant you a non-exclusive, non-transferable, perpetual licence to use the documents, subject to the conditions in these Licence Terms.
This means:
- Non-exclusive — we continue to sell the same documents to other customers
- Non-transferable — you cannot sell, give away, or sub-license the documents to anyone else
- Perpetual — your right to use what you have bought does not expire
The licence is granted to the legal entity that paid for the order. Where a person buys on behalf of a care organisation, the licence is held by the organisation, not the individual.
2. What the licence permits
The licence permits you to:
- Customise each document by completing [INSERT] placeholders, replacing [Company Name] with your organisation's name, adding your logo, and editing operational content to reflect your service
- Use the customised documents within your care organisation as your operational policies, forms, and checklists
- Print the documents as needed for staff, service users, and inspections
- Share the documents internally with your staff, your registered manager, your governance forum, and your CQC inspectors
- Show the documents to commissioners, auditors, accountants, solicitors, insurers, and other professionals supporting your service
- Update the documents as the regulation evolves and as your service grows
- Retain the documents for as long as your care service operates, including after any subsequent acquisition of your service
3. What the licence does not permit
The licence does not permit you to:
- Resell, sub-license, distribute, publish, or share the documents (in original or customised form) outside your care organisation.
- Provide the documents to other care providers, including other organisations within a corporate group, franchise network, or shared ownership structure (each provider must purchase its own licence — multi-site licences are available; contact us at vierka.hiscock@carefranchising.co.uk)
- Upload the documents to any public website, GitHub, Dropbox link, file-sharing service, or other internet location accessible to people outside your organisation.
- Include the documents (in whole or in part) in any compliance product, training course, consultancy deliverable, or service that you sell or distribute to third parties.
- Create derivative compliance products for sale — for example, you may not extract our forms, repackage them, and sell them as your own
- Remove our copyright, attribution, or version markings other than the [INSERT] placeholders intended for your white-labelling
- Use the documents to train any artificial intelligence or machine learning system, including large language models.
- Reverse-engineer or extract source code for the purpose of competing with us
4. White-labelling
The documents are designed to be white-labelled. You can:
- Insert your organisation name throughout
- Insert your logo on covers and footers as appropriate
- Insert your organisation's regulatory references (CQC provider ID, registered location ID, etc.)
- Insert your operational specifics (named roles, service types, geographic coverage)
- Modify the operational content to reflect your service
What you customise becomes part of your operational documentation, which you own. The underlying template, structure, regulatory framework references, and original content remain our intellectual property.
5. Multi-site and franchise licences
Each licence is for a single care provider organisation. If you operate multiple registered services or multiple sites under separate CQC registrations, you need a multi-site licence — please get in touch with us at vierka.hiscock@carefranchising.co.uk for pricing.
If you are a franchisor or care network seeking to provide our policy library across multiple franchisees, please get in touch with us at vierka.hiscock@carefranchising.co.uk — we offer separate franchise licences with terms appropriate to that distribution model.
6. Updates and version changes
When you purchase a suite, you are buying the version current at the time of purchase. We periodically release updated versions when regulations change (typically as version increments, e.g., v3.0 → v3.1).
- Without a Maintenance Subscription, your purchased licence applies only to the version you bought. Future versions are sold separately at our standard prices.
- With an active Maintenance Subscription, you are entitled to receive updates released during your subscription period at no additional cost.
You are responsible for keeping your operational policies up to date. Older versions remain usable but may not reflect the most current regulatory position.
7. Termination
We may terminate this licence with immediate effect if:
- You materially breach these Licence Terms — for example, by reselling, redistributing, or sharing the documents outside your organisation
- You attempt to reverse-engineer our content for competing purposes
- Your purchase is fraudulent, or your payment is reversed without legitimate cause
On termination, you must immediately stop using the documents and delete any digital copies. Your operational, customised versions of the documents currently in active use within your care service may be retained, where required, for regulatory, audit, or evidential purposes — but you may not continue to deploy or distribute them in any form.
8. Enforcement
We take licence breaches seriously. If we identify unlicensed redistribution, sale, or sharing of our documents:
- We will issue a written takedown / cease and desist notice
- We will pursue commercial recovery of the value of the breached licences
- We reserve all rights to pursue further legal action, including damages and injunctive relief
9. Warranty and limitation of liability
The documents are provided "as is". We make no warranty that:
- The documents will guarantee a positive CQC inspection outcome
- The documents will be appropriate to every possible service configuration without customisation
- Future regulatory changes are anticipated in the current version
You are responsible for customising the documents for your service, keeping them up to date, and seeking legal, clinical, or regulatory advice as needed for your specific circumstances.
Our total liability under this licence is limited as set out in the Terms of Sale.
10. Governing law
The laws of England and Wales govern these Licence Terms. Any dispute is subject to the exclusive jurisdiction of the courts of England and Wales.
